SMS Beta Guidelines

Welcome to the SMS Beta Team!!  

We are very excited to be showing you the first glimpse, straight off the press.   

This is your opportunity to use this new feature and send us your feedback.  

We want to know your thoughts.  

  • Does it work for you? 
  • Anything we are missing?
  • Are there any tweaks you think we should make?

Below is everything you need to know about sending a quotation or invoice via text to your customers.  

Switching your SMS Beta ON

When your Beta version is switched on you will see a set up banner pop up on your home screen.  Click the link -  Get set up to access the SMS set up screen.

Alternatively Head to Settings> Power-ups> Send SMS messages

Select the green button Enable SMS

During the Beta period SMS messages will be free to send.  Once the beta is complete SMS will be chargeable.  All SMS charges and packages will be confirmed prior the final version release. 

Sending a quote via SMS

To keep it simple we have integrated the SMS messaging into the original  Send Quote page.  

You will notice that we have made a few changes to streamline the message page layout in readiness for the SMS roll out.  

These include

  • Options at the bottom of the message page have now been removed.  
  • BCC (blind copy/send copy to yourself) moved to the top of the page under a blue BCC toggle button
  • Customer must sign to accept quote - moved to settings.  You will find it under Settings>Quotes.  Its can be turned ON or OFF for all quote messages.  

Once you have enabled SMS sending in settings your message screen will change to include Notify customer via SMS.   SMS can be toggled on or off for each quote that you send by clicking on the small box next to Notify customer via SMS.  

A blue tick means the SMS is switched on. 

Any numbers saved as a mobile on the customer profile will show in the SMS box.  You can delete or add any extra numbers to the box.  Mobile numbers should be separated by a comma.  Each mobile number will count as 1 message.  So if you have 3 numbers this will count as 3 messages. 

Don't worry if you have saved a landline number under the mobile category .  YourTradebase will check the numbers prior to sending and will show an error message for any numbers that are not valid. 

Selecting the green button Send quotation will send text to your customer with a link to view their quote online.  Your customer will also receive a copy by email. 

TOP TIP - You can view & edit the numbers saved against the customer profile by clicking on the customers name at the top of the page.

Sending an invoice via SMS

The message page for an Invoice will look similar to the quote page.   SMS option will show, with a toggle button, under 'To' at the top of the page. 

Adding or deleting numbers will working the same way as sending a quotation. 

We have moved Pay online top of the page with a toggle button.  If you have a Stripe connection, the option to allow customers to pay online will now show under the 'To' field

Selecting the green button  Send Invoice will send text to your customer with a link to view their invoice online.  Your customer will also receive a copy by email. 

Feedback

The most important part is your feedback!  We want to hear everything especially if you think there's something that could be tweaked before release.
