Using tags in your email templates

Tags allow you to insert dynamic content into your email templates, allowing you to personalise your emails with relevant content or data.

It saves you time, saves you from typing and lets you easily personalise each email you send.

Example: To have your email start with “Hello [your customer's name]”, you can enter:
“Hello {{friendly_name}}” and your email will automatically replace {{friendly_name}} with their friendly name.

What tags can I use?

All tags

These tags are available to use within all email templates:

{{company_name}} Enters your company name.
{{full_name}} Enters the customer’s full name.
{{friendly_name}} Enters the customer’s friendly name. If no friendly name is present, we'll use the {{full_name}}, instead.
{{customer_address}} Enters the customer’s address and postcode. Displayed on one line.

Quote/estimate tags

Available to use within all quote or estimate email templates:
{{amount}} Enters the total amount of the attached quote.
{{quote_title}} Enters the title of the attached quote  (Estimate, Quotation, Proposal etc)
{{quote_ref}} Enters the reference of the attached quote
{{quote_date}} Enters the date for the attached quote
{{quote_valid_until}} Enters the date that the quote is valid until
{{job_ref}} Enters any job reference for the quote, e.g. "Job #952 – tile bathroom"
{{job_address}} Enters the site address and postcode. Displayed on one line.

Invoice tags

Available to use within all invoice email templates:
{{amount}} Enters the total amount of the attached invoice.
{{balance}} Enters the balance due (invoice amount – payments received) for the attached invoice.
{{days_overdue}} Enters how many days the attached invoice has been overdue.
{{due_date}} Enters the due date of the attached invoice.
{{invoice_ref}} Enters the reference of the attached invoice.
{{job_amount}} Enters the total amount of the job the attached invoice belongs to.
{{job_ref}} Enters any job reference for the invoice, e.g. "Job #952 – tile bathroom".
{{payments}} Enters the total amount of payments received for the attached invoice.

Visit tags

Available to use within all visit email templates:
{{assigned_to}} Enters the name of the person assigned to the visit.
{{visit_date}} Enters the start date of the visit in format:  31st October 2019
{{visit_time}} Enters the start time of the visit in 24hr format:  11:12
{{visit_end_date}} Enters the end date of the visit in format:  31st October 2019
{{visit_end_time}} Enters the end time of the visit in 24hr format:  11:12
{{location}} Enters any location added for the visit.
{{job_ref}} Enters any job reference for the visit, e.g. "Job #952 – tile bathroom".

Job sheet templates

Available to use for job sheet email templates:
{{job_title}} Enters the title for the job.
{{job_description}} Enters the description for the job.
{{job_payments}} Enters the total amount of payments received for this job.
{{job_balance}} Enters the job balance amount remaining.
{{job_address}} Enters the job's address and postcode. Displayed on one line.
{{job_balance}} Enters the job balance amount remaining.
{{job_start_date}} Enters the start date for the job in format:  31st October 2019. Based on the earliest work date that's been scheduled.
{{quote_date}} Enters the date of any quote for this job in format:  Friday 31st October 2022. Based on the first quote created.
