Creating and updating message templates
Create and use personalised message templates for frequently sent messages.
How do message templates work?
When you send the same messages to your client over and over, templates can make that quick and easy. When a template is selected the subject, body and any attachments are filled in and ready to send – just make any changes you need and hit 'Send'.
YourTradebase gives you a set of pre-written message templates you can use when you’re doing regular things like sending a quote or chasing up an invoice. You can adapt them to suit your company, job or specific customer
You also able to create and save your own personalised message templates, ready to use again and again.
Creating message templates
- Visit Settings > Messages > Message templates to see your list of templates
Select Add a new template
Give your template a name (e.g. Sending a job completion message), a subject and the message body. Your email signature will be added automatically for you. Add any file attachments you'd like to include.
- Select 'Save template'
Your email template is now ready-to-go! You'll see it in your list of message templates.
Updating your message templates
You're free to make any changes you need to your email templates – here's how:
- Visit Settings > Messages > Message templates to see your list of templates
- Select Edit for the template you'd like to change
- Make any changes you need to the name, subject, body or attachments.
- Select Save template
All done! The next time you use your template, you'll see those changes.
How to use message templates
When sending a message or reply to your client, select a template to save you typing the same messages out over and over again.
Here's how to use a template when sending a message:
- Select the Use template option
- Choose the template you want to use
- That's it! You're ready to make any changes you need and hit 'Send' when you're done 👍
When entering your message subject or body, you can choose to enter tags which will dynamically insert content. Tags allow you to personalise your emails with relevant content and data. Learn more about tags.
